The Opportunity
The Donor Engagement and Administration (DEA) function serves as a key touchpoint in creating a positive first impression for supporters who contribute to UNICEF. The Senior Coordinator, Gift Processing plays a critical role in ensuring the accurate and timely processing of all gift types, while maintaining the highest standards of data quality and integrity within our database management systems.
This role is responsible for first-level data imports, data cleansing, and ongoing maintenance of donor information across systems. In addition, the incumbent provides support to staff across the organization by responding to gift-related inquiries and ensuring a high standard of service. The role also includes responsibility for office services operations.

Key Accountabilities
Gift Processing (75%)
- Processing cheques, cash and credit cards received through the mail. This involves verifying, importing and/or keying into database, reconciling cheques, exporting files, and resolving returns/rejections.
- Create and update appropriate donor and gift records from Finance transactions and bank deposit/reconciliation documentation (e.g., DPF, CanadaHelps).
- Process Survival Gift orders and add Survival Gift cards to the print/mail platform.
- Issuing of pledge donor service letters
- Complete related follow-ups (credit card declines/cheque issues) and record updates.
- Scanning of Bequest documentation
- Updating constituent information for return mail and changing notifications
- Backup support to perform timely data imports into Raiser’s Edge from various external vendors and online systems also providing assistance to the Senior Administrative Coordinator
Management of Data (10%)
- Monitor data quality and business rule compliance; investigate and correct issues.
- Run routine queries/exports to validate gift entry and complete integrity clean-ups (daily/weekly/monthly).
- Support duplicate identification and resolution in Engaging Networks and Raiser’s Edge.
Database Process Training and Support (5%)
- Maintain proficiency in Raiser’s Edge and Engaging Networks.
- Update training materials to reflect process and system changes.
Office Services (10%)
- Process outbound mail and courier shipments; allocate courier costs to departments.
- Prepare mailings (folding/inserting) and respond to service requests; liaise with staff and external suppliers.
- Operate and maintain high-volume mail equipment (e.g., inserter, postage machine).
- Manage inventory of office supplies and stationery.
Other Tasks as Required
- Provide backup support for Direct Mail batch preparation (sorting/scanning).
- Provide backup support for vendor/online data imports into Raiser’s Edge and assist the
- Senior Administrative Coordinator as needed.
- Support fob activation, deactivation, and distribution.
- Ad hoc support for Development mailings
Working Conditions
- This is an onsite role, requiring regular presence in the office to effectively support gift processing, team collaboration, and operational functions.
Qualifications
- 2+ years’ experience in data entry and/or high-volume transaction processing.
- Post-secondary education.
- Ability to lift up to 20 kg.
- Raiser’s Edge and Engaging Networks experience is a strong asset.
- Proficient with Windows and Microsoft Office (especially Excel).
- Strong attention to detail, organization, and problem-solving skills.
- Ability to manage competing priorities in a fast-paced environment; positive, team-oriented, and service focused.
- Experience managing completing priorities and meeting deadlines.
- Self-starter and resourceful with a collaborative spirit.
- Knowledge of and interest in UNICEF’s mission and values.
